Concept Cosmetic Medicine

Privacy policy

Concept Cosmetic Medicine and our practitioners respect your privacy. This policy explains what personal information we collect, why we collect it, how we look after it, and how you can access or correct it or raise a concern.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. As a health service, we also follow the health records laws that apply in New South Wales.

This policy applies to our clinics in Drummoyne, Newcastle and Bowral, and to this website.

What we collect

We only collect information that we need to provide our services, or that you choose to give us. This may include:

  • your name, date of birth, address, phone number and email
  • your medical history, medications, allergies and other health information
  • notes from your consultations and treatments, including clinical photographs taken for your medical record
  • your Medicare or private health fund details, where relevant
  • payment details for services and gift vouchers
  • an emergency contact
  • your communication preferences

You can ask general questions about our services without giving your name. To book or have treatment, we need to know who you are.

How we collect it

We collect most information directly from you: when you contact us, book an appointment, fill in a form, attend a consultation or buy a gift voucher. With your consent, we may also receive information from your GP or another health practitioner involved in your care.

Health information

Health information is sensitive information, and we take particular care with it. We collect it only with your consent and only when it is needed for your care. We use it to assess you, plan and provide treatment, and look after you afterwards.

Clinical photographs are part of your medical record. They are not used for any other purpose, including advertising or social media.

We won’t share your health information for any other purpose unless you agree, or unless the law requires or allows it. One example is where it’s needed to lessen a serious threat to someone’s health or safety.

How we use and share your information

We use your information to:

  • provide consultations, treatment and follow-up care
  • manage appointments, reminders and accounts
  • communicate with other practitioners involved in your care, with your consent
  • meet our legal, professional and insurance obligations
  • improve our services and this website

We may use trusted service providers to help us run the clinic, such as practice management software, IT support, payment processors and email providers. They may only use your information to provide that service to us.

We do not sell your personal information.

Email newsletter

If you sign up for our newsletter, your email address is stored with our email provider, Mailchimp, which may store information outside Australia. We only send our newsletter to people who have asked for it, and you can unsubscribe at any time using the link in every email.

Our website, cookies and analytics

Like most websites, ours uses cookies and similar tools. These help the site work, show us how visitors use it, and measure our advertising. This includes tools from Squarespace (our website host), Google and Meta (Facebook). These tools collect information such as your browser, device and the pages you visit. They don’t tell us who you are unless you choose to give us your details.

You can block or delete cookies in your browser settings. Some parts of the site may not work as well if you do.

Information stored overseas

Some of our service providers, including our website host and email provider, may store information outside Australia. Where this happens, we take reasonable steps to make sure your information is handled in line with Australian privacy law.

Keeping your information secure

We store records securely and limit access to staff who need it for their work. We keep health records for as long as the law requires. After that, we destroy or de-identify them securely.

Accessing or correcting your information

You can ask to see the information we hold about you, or ask us to correct it if it’s wrong or out of date. Please contact us in writing. We will respond within a reasonable time, usually within 30 days. In some limited cases the law allows us to refuse access, and if so we’ll tell you why. A reasonable fee may apply for copying records.
